What WorkInsights measures, and what the numbers actually mean

WorkInsights measures active and idle time, the apps and websites used during that time, attendance and timesheets, approved leave, and, where an organization enables them, GPS location and periodic screenshots. Each signal describes when and how work happened, not how well it was done.

What does the platform actually observe?

The desktop app records active and idle time plus app and website activity according to company settings. Attendance, timesheets, leave, and correction workflows add the schedule context needed to interpret those signals. WorkInsights does not turn a single event into a performance verdict.

How is the productivity percentage calculated?

Organizations classify applications and websites as productive, neutral, or unproductive for their own roles and workflows. The resulting productivity percentage describes how recorded active time was distributed across those categories. It is not a universal score of effort, quality, or employee value.

What do AI summaries add?

AI insights organize changes in activity, attendance, and work patterns into readable summaries. They help managers identify where to look, while the underlying source data remains available for verification and human review.

When should GPS and screenshots be enabled?

GPS and configurable screenshots are optional settings for organizations that need additional location or visual evidence. They should be enabled only with a clear operating purpose, appropriate employee communication, limited access, and a retention policy that fits the organization.

Does WorkInsights measure employee performance?

No. WorkInsights measures device activity, attendance, and app usage against rules your organization defines. Those signals describe when and how work happened, not how well it was done. Performance judgements remain a human decision made with context the platform cannot see.

Can employees see what is being collected?

The collection policy is set by your organization, not by WorkInsights. The platform supports clear activity states, role-based access, and configurable retention so a company can operate a policy it is willing to explain, and we recommend communicating that policy to employees before monitoring begins.

Are GPS location and screenshots always on?

No. Both are optional settings. GPS is available on all paid plans and periodic screenshots are a Pro capability, and each stays off until an administrator enables it. They should be turned on only with a clear operating purpose, limited access, and a defined retention period.

How long is workforce data kept?

Retention is a customer setting. Standard plans keep up to six months of activity history and Pro keeps up to twelve, while Enterprise deployments can define custom retention and export rules to match an internal or regulatory policy.
